UAN Check vs Employment Verification: Choosing the Right Evidence

Understand what candidate-authorised UAN-linked records can support, what an employer response adds, and how to resolve incomplete or conflicting work history.

Two sources answer different questions

A UAN check compares the candidate-authorised records available for review with the employment history supplied for the case. Employer verification asks an authorised source to confirm agreed facts about a particular employment relationship. The sources should be evaluated together where appropriate, not assumed to be interchangeable.

The right scope depends on the hiring policy, the periods being reviewed and the evidence available. Neither an incomplete record nor a missing employer response automatically establishes misrepresentation.

Prepare a record-by-record comparison

List each claimed employer, the employing entity, joining and leaving dates, role and documents supporting the claim. Distinguish a staffing agency from its deployment client. Identify which facts the selected source can actually confirm.

  • Match the candidate identifiers before comparing dates.
  • Retain the source and date of the record used for review.
  • Record the periods covered and any missing history.
  • Ask the candidate to explain material differences before closing the review.

Keep account access out of the process

Do not ask candidates to put EPFO passwords or OTPs in public enquiries, intake notes or email. Use the agreed secure collection process for candidate-authorised records. ZenNextVerify's built-in UAN input uses only trailing digits for a reference; it is not an account-login mechanism.

A masked reference is not itself proof of employment. The reviewed source material and the specific comparison performed must be recorded separately.

Read the outcome with its limitations

A consistent comparison means that the available records aligned within the documented scope. It does not guarantee a complete lifetime work history. An unavailable or incomplete result should say which source or period could not be confirmed.

An employer response may answer questions not represented in the candidate-authorised record. Conversely, a record may provide context when an employer is slow to respond. Agree any follow-up source or additional charge before extending the engagement.

Compare purpose, source and output

A candidate-authorised UAN-linked record review and an employer verification are separate checks. The first can provide employment-linked record context available through the approved process; the second asks an authorised employer source to confirm agreed facts about a particular employment.

Neither source should be described as a complete substitute for the other. Select the method according to policy, period, candidate communication and the facts that need confirmation.

Investigate differences record by record

Entity names, contribution periods, payroll dates and candidate-stated employment dates may not align exactly. Compare the period and employing entity before deciding whether a difference is meaningful.

Ask the candidate for focused context and use the employer response where the required field is not represented in the available record. Preserve source limitations in the report.

Choose a combined workflow when appropriate

A combined workflow can first map claimed employments against the authorised record and then direct employer verification to the specific employers and fields required by policy. This can improve clarity but does not remove consent, source validation or quality review.

The report should keep both results separate so readers can see which source supported each finding.
