Start with the employer's actual requirement

A court-record check searches an agreed set of court sources and jurisdictions. A PCC-related check concerns a certificate or authorised response from the relevant issuing authority. A request for one should not silently be replaced by the other.

Before collecting documents, confirm the purpose, candidate notice, jurisdictions, periods and source channels included in the order. ZenNextVerify does not issue government police clearance certificates.

Identity matching comes before attribution

People can share names. Search results should be compared with the identifiers available and relevant to the case. A possible match is not automatically a record belonging to the candidate, and the existence of a proceeding is not itself a finding of guilt.

  • Distinguish possible matches from identity-confirmed findings.
  • State unresolved identity or record-status questions.
  • Keep the employer's policy decision separate from the source report.

Documents and jurisdiction

The required inputs depend on the agreed source process. They can include candidate consent, identity details, relevant address history and a certificate or application reference where available. Do not upload identity documents through a public sales enquiry.

A hiring city alone may not define the appropriate search jurisdiction. Use the candidate's relevant history and the permitted purpose to confirm scope with the reviewing team.

Do not treat different outcomes as equivalents

A no-match result relates to the sources and search scope actually used; it is not a universal clean-history guarantee. An authority response pending is a different outcome from a confirmed discrepancy. Reports should preserve those distinctions.

Source access, identity clarification and authority response can affect timing. Any additional jurisdiction or revised request should be agreed before the work is expanded.

Use the check that matches the requirement

A court record check searches the agreed court sources and jurisdictions using defined criteria. A Police Clearance Certificate process concerns a certificate or response from the relevant authority. The source, application and output are different.

Record whether the employer requires a search, review of a candidate-provided certificate or assistance with an authority-led process. Do not rename one output as the other.

Plan identity and jurisdiction carefully

Use relevant address and identity information to define the permitted search. A common name or a city-only match is not enough to attribute a result.

Additional jurisdictions change the work and should be approved rather than added silently. Record the source, date, criteria and unresolved identity questions.

Read outcomes without overstatement

A proceeding, order and disposition are different source events. Likewise, an authority response pending is not the same as an adverse result.

The final report should explain the source and limitation and leave the employer's policy decision to the authorised reviewer.
